Sarfaraz & Co.: fleet, orders and accounts for a water tanker business

Sarfaraz & Co. runs a fleet of water tankers. Orders, deliveries, diesel, repairs, driver payments and customer accounts were tracked separately. We built one web system that follows a delivery from the booking to the money.

The client

Sarfaraz & Co. supplies water by tanker to homes and businesses. A working day is a stream of orders, each needing a vehicle, a driver, a filling stop, a delivery and, eventually, a payment, often on account.

The problem

Each part of that chain was recorded in a different place. It was hard to know which customers owed what, which vehicles were costing more than they earned, and whether the month had actually been profitable once diesel, maintenance and driver advances were counted.

What we built

4 systems, feature by feature

01

Master data and access

The people and assets the business runs on, with access by role.

Live
  • Customers and customer groups
Linked persons such as a family or business grouped under one account with a shared ledger view.
  • Vehicles and drivers
Each tanker and driver on record, with history of trips and costs.
  • Roles and permissions
Owner, dispatcher and accounts see and do only what their role allows.
  • Audit log
Every change recorded with who made it and when.
02

Daily operation and dispatch

One screen for the day's work: crew, trips and the day's expenses, entered once.

Live
  • Daily operation page
Date, driver and vehicle, then each trip in turn, then the day's expenses in one place.
  • Order booking
Each trip becomes an order with customer, quantity and price; the delivery is marked complete.
  • WhatsApp dispatch
Delivery details sent to the driver on WhatsApp.
  • Everything in one transaction
A day's entry is saved as a whole, so orders, payments and expenses never half-save.
03

Ledger, payments and documents

Customer accounts that always balance, with statements and receipts the customer can keep.

Live
  • Customer ledger
Every delivery and payment as a line; balances derived, never stored.
  • Payment allocation
Payments settle the oldest open invoices first, or are allocated by hand; a wrong payment is voided and re-done, never deleted.
  • Cash and bank accounts
A cashbook plus bank references for transfers.
  • Statements and receipts as PDF
Generated on demand and sent to the customer.
  • Exact money
Amounts stored and calculated as exact decimals; historical rates never change in place.
04

Fleet costs and reporting

What each tanker really costs, and what the month really made.

Live
  • Diesel and filling
Recorded per day against the vehicle, with the actual amount paid.
  • Repairs and maintenance
Service provider, repair type, paid or on credit, with its own payment ledger.
  • Tyres, driver advances and expenses
Categorised day-level expenses with seven standard categories.
  • Dashboard and P&L
Receivables, vehicle profitability and profit and loss, with CSV export.
  • Backups and restore
Scheduled database backups with a tested restore command and a backup log in the admin.
  • Tested delivery
A suite of 42 automated tests runs before every deployment.

Details that mattered

Money is stored and calculated as exact decimals, never as floating-point numbers. Operational status (delivered or not) is kept separate from payment status (paid or not), because the two move independently. Historical rates are never changed in place, so an old invoice always shows the price that applied at the time.

Delivery

The system runs on the client's hosting and deploys automatically from Git, gated by a test suite of 42 automated tests. The owner received a handover document covering daily operation, backups and restore.
