Best Estate Marketing: one platform for a real estate sales team

Best Estate Marketing sells plots and homes in housing societies around Lahore. Its sales team ran on spreadsheets, WhatsApp groups and a generic website. We replaced that with a set of connected systems the team now uses every day, hosted on the company's own server.

The client

Best Estate Marketing is a property marketing company in Lahore. It markets plots, files and homes in several housing societies, runs advertising campaigns on Facebook and Instagram, and employs a team of sales agents who follow up the enquiries those campaigns produce.

The problem

Enquiries arrived in Facebook's lead forms and were copied into spreadsheets and WhatsApp groups by hand. Nobody could say quickly which agent held which lead, how long a lead had waited for a first call, or which campaign was actually producing buyers. Plot availability lived in Excel sheets that went stale the moment a file was sold. The website was a template that did not connect to any of this.

The company wanted one place where leads arrive, get assigned, get followed up and get reported on, and it wanted to own the result rather than rent it.

What we built

6 systems, feature by feature

01

Company website

The public face of the company: projects, listings and enquiry forms, served from the company's own server.

LiveVisit
  • Project and listing pages
Each housing scheme and listing has its own page, managed by the client without a developer.
  • Enquiries straight into the ERP
Every form submission becomes a lead in the sales system instead of landing in an inbox.
  • Fast on mobile
Server-side rendering and image optimisation for buyers browsing on phones.
  • Search engine ready
Clean URLs, metadata and structured data for Google.
  • Automatic deployment
Code goes live from Git with a build check in front; the server is restarted only after a successful build.
  • Nightly backups
Site and data backed up on the server and pulled to a second machine daily.

02

ERP for the sales team

Lead management built around the way the company sells: campaign leads in, agents assigned, follow-ups tracked, performance reported.

Live
  • Meta lead-form capture
Facebook and Instagram lead forms arrive in the ERP automatically, with the campaign recorded.
  • Automatic distribution
Round-robin pools with a persistent cursor, a working-hours window and a timer that re-assigns a lead the agent has not acted on.
  • Public lead pool
Leads nobody has claimed sit in a shared pool that any agent can pick from.
  • Duplicate handling
A repeat enquiry is routed to the agent who already owns that buyer.
  • Lead transfer and locked agents
Managers move leads between agents; selected agents are excluded from automatic assignment.
  • KPI dashboards and reports
Per-agent performance, activity duration, connected-call counters and campaign results.
  • WhatsApp for agents
Agents message buyers from inside the ERP, with the conversation kept on the lead.
  • Mobile app for agents
An Android app with the agent's pipeline and one-tap dialling of the lead's number.
  • Roles and realtime
Role-based access and live updates across the team without refreshing.

03

Task management system

A separate system for the operational side of the business, with its own users, database and storage.

Live
  • Teams, heads and members
Admin creates teams such as Content, Graphics and Creators; each has one or more heads.
  • Projects as hashtag groups
All work for a scheme lives under its tag, for example #LOF for Lahore Organic Farm.
  • Tasks across teams
A task can be assigned to one or several teams at once.
  • Approval workflow
Member-created tasks wait for a head's approval; heads send work back with a 'changes required' note.
  • Boards with controlled completion
Members move cards up to review; only heads and admins mark work done.
  • Rooms with files and chat
Discussion per project, inline preview of images, video and PDFs, unread counts.
  • Daily routines
Recurring duties with a per-day tick, separate from project tasks.
  • Performance reports
Workload, completion rate, on-time rate, rework and overdue counts per person.

Interactive plot map

Society master plans as a live map, with every plot linked to the inventory and to the ERP.

Live
  • Master plans georeferenced in QGIS
Each scheme's plan is aligned to real coordinates and published as map tiles over Google Maps.
  • Eight housing schemes
Including Palm Valley, MYFA Residency, Ivy, Nazeer, Lahore Organic Farms and Paradise Villas.
  • Plot inventory on the map
Status dots per plot; size, price and availability on click; filters such as easy-payment schemes.
  • Staff place pins themselves
Inventory is imported from the company's own file and positioned on the plan by the team in the admin.
  • Two-way sync with the ERP
A plot sold in the ERP changes on the map; a status changed on the map is sent back to the ERP.
  • Tour videos and project links
A 'Tour the project' video per plan and a link to the scheme's page on the website.
  • Per-scheme branding
Listing brand and logos per society, or per plot for other agencies' stock.
  • Public map and internal tool
The same map serves buyers on the website and the sales team inside.

05

Project websites

Individual landing sites for schemes the company markets, on the same server as the main site.

Live
  • Palm Valley Farms
Farmhouse plots on Main Barki Road, Lahore.
  • MYFA Residency
Farmhouse plots on BRB Canal Road, Lahore.
  • Linked to the map and the ERP
Each site points to its plan on the map and sends enquiries into the same pipeline.
06

Classified mobile app

A property classifieds application for buyers and sellers, with the plot map built in.

In development
  • Phone-number sign-in
One-time code by SMS; no passwords for the public.
  • Post, search and browse listings
    By scheme, type and budget.
  • Map inside the app
The same tiles and inventory as the web map.

What changed

Leads now reach an agent within minutes of the enquiry, without anybody copying anything. Management can see, for the first time, which campaigns and which agents are producing results, and can act on stalled leads before they go cold. Plot availability is a map the team can show a customer, not a spreadsheet to be checked. The company owns the code, the data and the server.

How it runs

Everything is hosted on a VPS that belongs to the client. Each system runs in its own container, the server's reverse proxy handles SSL, and code deploys automatically from Git with a build check in front of it. Backups run nightly to the server and to a second machine. When the server had to be rebuilt in 2026 the whole stack, including the company's DNS, was restored from those backups.

Ongoing work

TechNova looks after the stack under a monthly arrangement: updates, backups, security patches and new features as the business asks for them. The classified app is the current project.
