EstateFlow: a real estate ERP built as a product

After building real estate systems one client at a time, we turned the recurring parts into a product. EstateFlow covers the full cycle of a housing project, from inventory and bookings to installments, accounts and after-sales, and is the base we now adapt for developer clients.

Why we built it

Every real estate developer and marketing company we worked with needed the same core: a register of projects, blocks and units; bookings with payment plans; installment collection and recovery; receipts and a ledger that balances; commissions for dealers and agents; and the documents that go with all of it. Building that from zero for each client was slow and expensive. EstateFlow is that core, built once, properly, as a multi-company product.

What we built

6 systems, feature by feature

01

Projects and inventory

The register everything else hangs off: projects, phases, blocks and units.

Live
  • Projects, phases and blocks
Any scheme structure, from a single block to a multi-phase society.
  • Units created in bulk
Plots, files and apartments generated from a pattern instead of one by one.
  • Price lists with activation dates
A new price list takes effect on a date; old bookings keep their old price.
  • Guarded status changes
A unit cannot be booked twice, even by two agents at the same moment.
02

Sales and bookings

From enquiry to allotment, with the approvals a developer actually requires.

Live
  • Leads through stages
Tasks and activities on each lead; conversion to booking.
  • Bookings with discounts and approvals
Discounts above a threshold route to an approver before the booking confirms.
  • Allotment, transfer and cancellation
Each with its documents and its effect on the ledger.
  • Dealer and agent commissions
Calculated on booking and settled through payables.
03

Financial core

Installments, receipts and recovery that reconcile to the rupee.

Live
  • Payment plans and schedules
Down payment, installments, possession and other charges per unit.
  • Receipts and cheques
Including post-dated cheques, bounces and reversals.
  • Late fees and recovery
Automatic late fees, overdue ageing and a recovery follow-up queue.
  • Payables and approval engine
Vendor bills and refunds, with multi-step approval for sensitive actions.
  • Exact arithmetic
Money as integer paisa, percentages as basis points; no floating-point rounding.
04

Documents and e-signature

Agreements and letters generated from the data, signed without paper.

Live
  • Generated documents
Booking forms, allotment letters and agreements filled from the record.
  • Encrypted storage
Files encrypted at rest with a key the operator controls.
  • Signing by one-time code
The customer signs from a link with a code sent to them; the signed copy is stored.
05

After-sales, compliance and security

What happens after the sale, and what keeps the system safe.

Live
  • Possession and NOCs
Handover records and no-objection certificates with their conditions.
  • Disputes and legal records
Cases tracked against the unit and the customer.
  • Two-factor authentication and roles
TOTP for every user; permissions per role.
  • Audit trail and backups
Every change logged; scheduled database backups with restore tested.
  • Multi-company
Several companies on one installation, each with its own data.

Product website with admin

The marketing site for the product, editable without a developer.

LiveVisit
  • Nine product areas
CRM, ERP, Maps, Sites, Market, Build, Community, AI and Insights, each with its modules.
  • Built-in admin
Content and enquiries managed from a small admin panel; a Publish button rebuilds the site.
  • Static and fast
Pre-built pages served from ordinary hosting.

How it is built

A TypeScript monorepo: a Next.js web application, a NestJS API with an in-process scheduler, Prisma on PostgreSQL. Money is handled as exact integer amounts, never as floating-point numbers, and percentages as basis points. Unit status changes only through guarded updates, so two agents cannot book the same unit. Demo data is created through the real API rather than inserted into the database, so the ledger always balances.

How clients use it

EstateFlow runs on a server the client controls. We install it, load the client's projects and inventory, adapt the parts that differ (payment plans, document templates, commission rules) and train the sales and accounts teams. A Lahore marketing company's ERP and the EstateFlow product share the same approach to lead handling and inventory; the product is where the lessons from client work end up.

What is next

The product site at estateflow.live describes the modules in detail. New modules are added as client projects need them, and each addition becomes available to every installation.
