Travel Agency Software in Pakistan: What to Look For

Most Pakistani travel agencies need one system that holds bookings, packages, visa files, supplier and airline accounts, customer records, receipts and reports together. Spreadsheets and WhatsApp work until a second or third staff member joins. After that, mistakes start to cost money. TechNova's TravelMate is a ready-made platform for this job. We install it, brand it and adapt it to how your agency works.

In short

  • Spreadsheets and WhatsApp work for one owner and an assistant, but break once several staff share the same information.
  • Good travel software covers bookings, packages, visa files, supplier ledgers, customer records, receipts and reports.
  • A one-person agency issuing few tickets, or one that only needs ticketing, may not need new software.
  • TravelMate is TechNova's ready-made platform, which it installs, brands and adapts to how each agency works.
  • The article's checklist suits any vendor, and a product failing more than two or three points should be rejected.

Why spreadsheets and WhatsApp stop working

Most agencies start the same way. Bookings go in a notebook or an Excel sheet. Passport copies sit in a phone gallery. Payments are confirmed in a WhatsApp message. With one owner and one assistant, this works.

It breaks when more people touch the same information. Two staff quote the same seat. A visa file goes missing. Nobody can say how much an airline is owed, or which customer still owes a balance on a group package. The owner becomes the only person who knows the real position.

Travel software fixes this by keeping every booking, document and payment in one record that everyone works from.

What the software needs to cover

Here are the areas to test, whatever product you look at.

Bookings

Every booking, whether a flight, hotel, transport or a mix, should be recorded against a customer and a supplier. It needs a status, travel dates and the name of the staff member who handled it. You should be able to search by passenger name, reference or date and see the whole history.

Packages and tours

Umrah packages, northern area tours and international group trips are sold as packages. They have fixed dates, a number of seats and several components. You should be able to build a package once, attach passengers to it and see how many seats remain. Instalment payments should sit against the passenger, not in a separate sheet.

Visa processing

A visa is a process, not a single entry. Each application has documents, a checklist, a submission date, a status and a result. Staff need to see at a glance which files are waiting for passports, which are submitted and which are approved. Without that, the owner spends the day answering "what happened to my visa?"

Supplier and airline accounts

You buy from airlines, consolidators, hotels, transporters and visa agents. Much of it is on credit or deposit. Each supplier needs its own ledger showing what you have paid, what you owe and what has been refunded. If you do not have that, margins are guesswork.

Customer records

Store passport details, contact numbers, family or group links, past trips and current balances in one place. Families who travel together should be linked. Passport copies are sensitive, so access should depend on the staff member's role.

Receipts and payments

Every payment received should produce a numbered receipt tied to the booking. It should handle part-payments and instalments, and cash as well as bank transfer. Most agencies also deal in more than rupees, since suppliers are often paid in SAR or USD, so check how currencies are recorded.

Reporting

The owner's questions are simple. What did we sell this month? Who sold it? Which customers owe us money? Which suppliers do we owe? What did each booking or package earn? Reports should come from the same records staff already use, not from figures typed in again at month end.

When you do not need new software

New software is not always the answer.

If you are a one-person agency issuing a handful of tickets a week, a tidy spreadsheet and a receipt book may be enough. Fixing your habits costs less than changing your system.

If your only need is ticketing, the booking tool your consolidator or airline gives you does that job. It will not manage your customers, packages, visa files or supplier ledgers, but you may not need it to.

If your accountant already keeps your books well, you may only need better booking and customer records. Some imported travel products are good too. Check whether they handle local receipts, supplier credit and the way Pakistani agencies sell packages, and test that on a trial before you commit.

Software starts to pay for itself when several staff work on the same bookings, balances are hard to track and you cannot see your position without asking someone.

TravelMate

TravelMate is one of the sixteen ready-made industry platforms TechNova maintains. It is built for travel agencies and tour operators. It covers the areas above: bookings, packages, visa files, supplier and airline accounts, customer records, receipts and reports. You can read more on the TravelMate page.

We do not hand over a blank template. We install TravelMate for you, brand it with your name and logo, and adapt it to how your agency works. You start from a system that already works, so there is less to specify and test.

If your agency has an unusual process, such as a particular approval chain between branches, we can build that as custom work. See custom solutions for how that is handled.

How setup works

  1. First call. You tell us how you sell, how many staff and offices you have, and what you use now.
  2. Walk-through. We go through TravelMate against your workflow and list the differences honestly.
  3. Install and brand. We set up your name, logo, receipts, users and roles.
  4. Adapt. We change fields, package types, visa checklists and report layouts to match how you work.
  5. Move your data. We bring across customer lists and, most importantly, opening balances for customers and suppliers. We check those figures with you.
  6. Train and switch. Staff are trained, and you run the new system alongside the old method for a short period before dropping the old one.

Checklist before you choose

Use this with any vendor, including us.

  • Can I record a booking with customer, supplier, dates, status and staff member?
  • Can I build a package once and track seats sold and remaining?
  • Can I track each visa file through its stages?
  • Does each airline and supplier have its own ledger?
  • Are family and group members linked in customer records?
  • Does every payment produce a numbered receipt tied to a booking?
  • Can I record instalments and payments in more than one currency?
  • Do staff have separate logins, and can I limit what each role sees?
  • Can I see sales, receivables, payables and profit without retyping figures?
  • Can my existing customer lists and opening balances be imported?
  • Is the system branded with my agency's name on what customers see?
  • Who looks after the system after go-live, and how do I reach them?

If a product fails more than two or three of these, keep looking.

Talking to TechNova

On a first call we ask how your agency sells, how many people work in it and where things go wrong today. We then show you how TravelMate would handle those points and say plainly where it would need adapting. If it is not the right fit, we will tell you. Contact us to arrange it.
