The short answer
Start with what you sell and how many people sell it.
If you have a small team, sell finished units or rentals, and keep inventory in a spreadsheet that works, buy Zoho CRM and move on. Do not build software you do not need.
If you sell plots and files in housing societies, run large Facebook and Instagram campaigns, collect payment over instalments and manage a growing team of agents, a generic CRM will start to fight you. That is when a custom CRM earns its cost.
Where Zoho CRM fits well
Zoho is a mature product. For many sales teams it does the basics properly:
- Contacts, deals, pipelines and follow-up reminders.
- A mobile app for agents.
- Email, reports and dashboards.
- A connection to Meta lead ads.
- Workflows and custom modules for some extra needs.
You can start in days. The vendor maintains the software, fixes bugs and handles hosting. You do not need a developer to begin.
That matters. A small agency that needs a clean list of leads, a pipeline and a reminder to call back gets real value from Zoho without a development project. The same is true of other generic CRMs.
Where generic CRMs break for property sales
The problems are not in the basics. They appear in the parts of your business that are specific to property.
Lead distribution
Campaign leads arrive in bursts, and speed matters. A simple round-robin is easy in any CRM.
Real rules are rarely simple. Leads may go by project or city, only to agents who are on shift, to the agent with the shortest uncontacted queue, or back into the pool if nobody calls within a set time. Zoho's assignment rules and workflows cover part of this. The rest needs scripting, and scripted rules in a hosted tool tend to become fragile and hard to explain to the sales head who owns them.
Plot and file inventory
A plot has a society, phase, block, size, category and status. It may be a file, an allotted plot or a resale. It can be available, on hold, booked or sold.
Generic CRMs treat products as price-list items. You can build a custom module for plots. But a map where an agent taps a plot and sees its live status is a different job. Without it, two agents can promise the same plot to two buyers. That is the costliest mistake in this trade.
Instalment schedules
A buyer pays a down payment, then monthly or quarterly instalments, sometimes with a balloon payment or possession charges. Each payment is tied to a plot and a buyer. You need due dates, reminders, receipts and a clear list of who is late.
You can approximate this with custom modules or an accounting add-on. It works until your plans differ by project, which they usually do.
Be realistic here. No CRM, custom or Zoho, can read the personal WhatsApp chats on an agent's phone. Logging conversations properly needs the WhatsApp Business Platform, a registered business number and agents who message through the CRM.
Zoho offers WhatsApp connections through its marketplace and partners. Their limits and costs vary, so check the current terms. A custom CRM lets you design the exact flow: tap to open a chat from a lead, use approved templates, and log every message against the lead. The harder part is getting agents to stop using their personal phones for client chats. That is a management decision, not a software feature.
Urdu-speaking agents
Many agents work comfortably in Urdu or Roman Urdu and less so in English software. Check which interface languages, templates and reports your chosen tool supports. Typing Urdu notes is usually fine. A fully Urdu screen is another matter.
With a custom build, you choose the language, the layout and how few taps a call log takes.
Per-seat pricing
Generic CRMs charge per user, per month. Property sales teams grow quickly, lose agents often and add part-time or freelance sellers. Every new seat adds to the bill.
A custom CRM has an upfront build cost and ongoing maintenance, but it does not charge per agent. Whether that is cheaper depends on team size and how long you will use it. Get a written quote from each side and compare three years of total cost, not the first month.

When a custom CRM is worth it
Build when most of these are true:
- Meta campaigns are your main lead source, and slow follow-up costs you sales.
- You sell plots or files, and inventory status must be exact.
- Payment runs on instalment plans that differ by project.
- You have many agents, or the count changes often.
- Management wants to see who called whom, when, and what happened.
If only one or two are true, a configured Zoho setup may do the job. Be wary of anyone, including us, who says you need custom software before they have asked how you work.
When to stay with Zoho
Stay if your team is small, your inventory is simple, instalments are handled by accounts and not by sales, and your agents already use the tool without complaint. Also stay if you need to be live next week. A custom build is the wrong answer to an urgent problem.
You can also begin with Zoho and move later. Export your leads and history, and use them as the starting data for a custom system.
What we built for Best Estate Marketing
Best Estate Marketing in Lahore needed a system for the way a property marketing company actually works. TechNova built it: leads from Meta campaigns are distributed to agents, agents work from a mobile app, and a plot map shows what is available.
It is a single project, and your business will differ in the details. But it shows the kind of system this page describes.
A middle route
A full custom build is not the only alternative to Zoho. PropertyDesk is one of our ready-made industry platforms. We install it, brand it and adapt it to your rules, so you are not starting from a blank page. If your needs go beyond that, our CRM development service covers a full custom build.
Talking to TechNova
On a first call we ask how leads reach you, how many agents you have, and how you track inventory and instalments today. Then we tell you plainly whether Zoho is enough, a ready-made platform fits, or a custom build makes sense. To start, contact us.
