School and Academy Management Software in Pakistan

Good school management software keeps one record per student and uses it for admissions, attendance, exams, fees, timetables and messages to parents. If your office still runs on registers and spreadsheets, one system removes the repeated data entry that causes errors and fee disputes. TechNova's EduTrack covers all of this, and we install, brand and adapt it for your school.

In short

  • School software should keep one record per student and use it for admissions, attendance, exams, fees and timetables.
  • The usual problem is copying the same student details into several registers, which lets the copies drift apart.
  • Check that the system handles your own marking scheme, report card format, fee structure and sibling discounts.
  • SMS and WhatsApp need provider arrangements, so set them up early rather than just before term begins.
  • EduTrack is not suited to very small setups, fee-only needs, mandated group systems or unusual requirements.

What school software needs to do

Most schools in Pakistan don't have a software problem. They have a copying problem. A student's name is written in the admission register, again in the attendance register, again in the fee ledger and again on the result sheet. Each copy can drift from the others.

A school management system fixes this by keeping one record per student and using it everywhere. Here is what to expect from each part.

Students and admissions

Enquiries, applications, test or interview results and the admission decision should sit in one place. Once a child is admitted, that record becomes the student profile: guardian details, class and section, previous school, documents and sibling links.

Sibling links matter more than they look. Fee concessions and parent messages often depend on them.

Attendance

Teachers mark attendance for their class on a phone or computer. The office sees absences the same morning. The same data feeds parent alerts and term reports, so nobody counts registers by hand at the end of the month.

Exams and results

The system should hold your marking scheme, not force its own. Check that it handles your board or curriculum, term and annual weightings, and grade bands. Teachers should enter marks once, and report cards should be produced from those marks.

Ask to see a report card in your own format before you commit to anything.

Fee collection and reminders

This is where most schools feel the pain first. You need:

  • fee structures by class and fee head
  • concessions and sibling discounts
  • monthly vouchers, part payments and arrears
  • receipts and a defaulter list that takes a click, not an afternoon

Reminders should go out automatically before and after the due date. Whether parents pay in cash, at a bank or online, every payment must be recorded against the right student.

Timetables

A timetable is a puzzle of teachers, rooms and periods. The system should flag clashes, such as one teacher in two classes at once, and handle substitutions when a teacher is absent. Changes should reach staff without a new printout.

Parent communication over SMS and WhatsApp

Most parents read SMS and WhatsApp far more reliably than they open a school app. Notices, absence alerts, fee reminders and result announcements should go from the system to the right class or family.

Two practical points. SMS needs an arrangement with a provider. WhatsApp business messaging follows Meta's rules, including approved templates for messages you start. Neither is difficult, but set them up early, not the week before term.

EduTrack

EduTrack is TechNova's school and academy management platform. It covers admissions, attendance, exams and results, fees, timetables and parent messaging. It is one of sixteen ready-made industry platforms we maintain.

We install it, brand it with your school's name and logo, and adapt it to how you work. That last part matters, because schools differ. A single-campus academy with coaching batches has different needs from a school with three campuses and a Cambridge section.

Starting from a working platform means you see real screens early, instead of reading a specification and waiting. You can find the details on the EduTrack product page.

How the rollout works

  1. Discovery. We go through your classes, fee structure, grading rules and the reports your principal and accounts staff actually use.
  2. Setup and branding. We install EduTrack, apply your branding and configure classes, sections, fee heads and grading.
  3. Import. We bring in your existing student, guardian and fee records from spreadsheets. If your records are on paper, they need to be typed up first. We check for duplicates and missing fields before loading, because it is easier to fix a spreadsheet than a live system.
  4. Training. Teachers, front-office staff and accounts staff are trained separately. They use different screens and have different worries.
  5. Go live. Most schools do best starting at the beginning of a term or fee month, so the cycle is clean. You can run the old and new systems side by side for a short time if that gives you confidence.

One honest note: import is where timelines slip. Records are always messier than anyone expects. The earlier you start tidying your data, the smoother the rollout.

When EduTrack is not the right choice

We would rather you chose the right tool than ours.

  • A very small tutoring setup. If you have a few dozen students and one person doing the admin, a spreadsheet and a WhatsApp group may be enough.
  • You only need fees. If fee collection is your only problem, a dedicated fee or accounting tool may be simpler.
  • Your group mandates a system. If a school network or trust requires its own software, use it.
  • Unusual requirements. If you run many campuses with central finance, or must connect to an existing ERP, a standard platform may not fit. In that case we may suggest a custom solution instead.

A checklist before you choose any system

Use this with us or with any other vendor.

  • Can it reproduce our fee structure, concessions and sibling discounts?
  • Can it produce our report card in our board's format?
  • Do teachers mark attendance and enter marks on a phone?
  • Do parents get messages by SMS and WhatsApp without installing anything?
  • Who sets up the SMS and WhatsApp accounts, and who maintains them?
  • How are our existing records imported, and who checks them?
  • Who trains staff, and how many sessions are included?
  • Who do we call when something breaks in the middle of a fee cycle?
  • Can we export all our data if we leave?
  • Who owns the data, and where is it stored?

If a vendor cannot answer these plainly, keep looking.

Talking to TechNova

On a first call we ask about your school: how many students and campuses, how you collect fees, which board you follow and what hurts most today. We then tell you whether EduTrack fits, needs adapting or is the wrong choice. Contact us to book it.
