Do you need software at all?
Not always. If you ship a few dozen parcels a day, have two or three riders and know every customer by name, a shared spreadsheet and a WhatsApp group can work. Plenty of good small operators run that way.
The trouble starts when volume grows. Parcels get booked twice or not at all. A rider says he delivered; the customer says he didn't. Cash on delivery goes missing between the doorstep and the office, and nobody can say where. At that point the cost of not having a system is higher than the cost of having one.
If that sounds familiar, read on.
What a courier system has to do
Most courier and cargo operations have the same six jobs. A system should handle each one without workarounds.
Shipment booking
Every parcel needs a record from the moment it is accepted: sender, receiver, address, contents, weight or size, service type, and any COD amount. Your counter staff should be able to enter it quickly. Regular business customers should be able to book without phoning you.
Each booking gets a unique tracking number and, ideally, a printable label. Without that, everything downstream becomes guesswork.
Transit tracking
Tracking is a list of status changes with times: booked, picked up, arrived at the hub, out for delivery, delivered, returned. Each change should be recorded by whoever handled the parcel, not typed up later from memory.
For intercity cargo this matters most. When a parcel moves between branches or partner agents, you need to see where it stopped and who last touched it.
Rider management
Riders need a clear daily list of pickups and deliveries. You need to know which parcels each rider holds, which are done, which failed and why, and how much cash he is carrying.
A good system lets a dispatcher assign and reassign work easily. It also gives you a record to look at when a parcel or a payment goes missing.
Cash on delivery and settlements
This is the part most small operators underestimate. COD is common in Pakistani e-commerce, and your merchants expect their money promptly and accurately.
The system should record the COD amount against each parcel, record what the rider collected, and show what each rider owes you at the end of the day. It should then show what you owe each merchant, after your charges, and produce a settlement statement you can send them.
If your merchants dispute their payouts regularly, this is where software pays for itself.
Customer notifications
Most calls to a courier office ask the same thing: where is my parcel? Automatic messages at key points, such as booked, out for delivery and delivered, cut those calls. A tracking page where customers enter their number answers the rest.
Message content should carry your brand, not a stranger's.
Proof of delivery
Proof of delivery settles disputes. Depending on your business, that might be the receiver's name, a signature, a photo, or a time-stamped status from the rider. Whatever you choose, it should be attached to the parcel record, where your staff and your customer service team can find it in seconds.
How CargoTrack fits
CargoTrack is one of the sixteen ready-made industry platforms TechNova maintains. It is built for courier, cargo and logistics operators, and it covers the six jobs above: booking, tracking, riders, COD and settlements, notifications and proof of delivery.
Because it is a maintained platform rather than a project started from nothing, you are not paying for us to discover how a courier business works. The core is already built. What we do is fit it to you.
How setup works
We do not hand you a login to a generic system. For each client we install the platform, brand it and adapt it.
- Install. We set CargoTrack up for your business on its own installation.
- Brand. Your name, logo and colours appear on the screens, labels, tracking page and customer messages.
- Adapt. We adjust it to how you actually work: your service types, your branches or hubs, your rider routines, your COD and settlement rules.
Before we start, we will ask practical questions. How do you book today? How many branches or agents do you have? How do riders get paid, and how do merchants get paid? What do customers ask you most often? Your answers decide what we change.
If your operation has a requirement that the platform does not cover, we can build it as an addition. That is the point of custom solutions: a ready-made base with your own rules on top.
When CargoTrack is not the right choice
Being straight about this saves everyone time.
- Very low volume. If a spreadsheet still works, keep using it until it does not.
- You only resell another courier's service. If you book parcels onto a large national courier's own portal, their system may already do what you need.
- You need a long, deeply specialised workflow that no existing platform resembles. A fully custom build may suit you better, and we will say so.
If you are unsure which side you fall on, describe your daily process on a call. That is usually enough to tell.
A checklist before you choose any courier software
Use this with us or with anyone else you are considering.
- Can staff book a parcel in under a minute, and can business customers book for themselves?
- Does every parcel get a unique tracking number and a printable label?
- Are status changes recorded by the person handling the parcel, with a time?
- Can a dispatcher assign and reassign riders without starting over?
- Can you see, per rider, the parcels held and the cash carried?
- Does the system record COD per parcel and calculate what each merchant is owed?
- Can you produce a settlement statement a merchant will accept?
- Do customers get automatic updates under your brand?
- Is proof of delivery stored on the parcel record?
- Can the software be adapted to your service types and branches?
- Who looks after it after launch: hosting, fixes, changes?
- Can you export your own data if you ever leave?
If a vendor cannot answer the COD and settlement questions clearly, be cautious. That is where courier systems most often fall short.
What to look at next
We have written up how we approach client work in our case studies. They show how we scope and adapt a platform for a specific business, which is useful context before you decide.
Talking to TechNova
On a first call we ask how you run bookings, riders and COD today, and where it hurts most. We tell you whether CargoTrack fits, needs adapting, or is the wrong tool. If it is a fit, we show you the platform and outline what setup involves. Contact us to arrange a call.
